Inquiry form: how to test the path to the manager

A “Thank you!” message does not prove that an inquiry has reached a sales representative. A form may accept the data, but the notification may not arrive, the record may not be saved, or no one may be assigned to handle it. That is why the entire journey should be tested: from filling out the form on a phone to the specific record in the system the team uses.

Below is a testing procedure for a service website. It will help you prepare a task for a developer and accept the work without access to the source code. This is a practical scenario, not a promise of a specific percentage increase in conversion.

Which fields are really needed

Start with the question: what does the sales representative need to take the next step? If they need to call back, the phone number may be required while email is not. If a customer requests a quote based on a drawing, an optional attachment or the ability to send it later is appropriate. Do not require a delivery address on an initial consultation form if there is no need to know it yet.

An example for an installation company

  • Contact details for a reply: phone or email, depending on the selected communication method.
  • Type of work: a few clear options, including “I need a consultation”.
  • Comment: optional, with the prompt “What needs to be done?”.
  • City: only if geography determines whether an on-site visit is possible.

This is a hypothetical example, not a description of a specific client project. Restaurant reservations need a different set of fields: the date, time, and number of guests may be necessary at the very first step.

What should happen after a click

  1. Field validation. The error explains exactly what to fix and does not erase other entered data.
  2. Waiting for a response. The button shows submission progress; repeated clicks do not create multiple identical inquiries.
  3. Confirmed receipt. The success state appears after the server confirms acceptance, not immediately after a click.
  4. Handled by a representative. There is a record in the agreed location with the time, service, and assigned person or assignment queue.

Confirmation on the website and an email to the sales representative are separate events. If the record is saved but the email service is temporarily unavailable, the system should retain the inquiry and provide a clear way to retry the notification. The specific mechanism is agreed during website and automation design.

Errors Users Can Fix

Instead of “Error 422”, show something like “Check your email: use the format name@example.com”. The field label should remain visible after input. Do not indicate a problem using red alone. Accessible error text and a clear result message are important for keyboard and screen reader users. These principles are described in W3C recommendations on form notifications.

If a request does not complete because the network connection is lost, do not show success. Keep the entered text in the current form and offer a retry. Test this in a test environment without disabling live integrations in the middle of the day.

Acceptance checklist: from phone to representative

  1. Agree on a test window and use your own test contact details, not customer data.
  2. Open the page on a narrow screen. Check labels, the phone keyboard, and button accessibility.
  3. Submit an empty form, then one with invalid contact details. Make sure the explanations are specific.
  4. Submit a valid test marked “TEST, do not process as a sale.” Find that exact record in the agreed system.
  5. Compare the time, service, and comment. Check the notification to the responsible person, not just one employee's inbox.
  6. Check repeated clicks and page refreshes: have any duplicates appeared?
  7. Remove test inquiries using the standard method and record the test result.

Do not run these tests using other people’s contact details or create real payments. For an initial look at the workflow, you can open our an illustrative online booking example: it uses test data.

What to send to analytics and what to leave to the representative

Names, phone numbers, email addresses, and free-form inquiry text are not needed for routine counting of successful inquiries in web analytics. They belong in the inquiry-handling process with appropriate access controls. Measurement events should be separated from form content and configured to respect the visitor’s analytics choices.

Also, do not equate a button click with an accepted inquiry, or an accepted inquiry with a sale. Define in advance exactly which event you are counting in the report. This will help you discuss advertising and managers' work without mixing different metrics.

Where to start fixing issues

Save the form URL, briefly describe the expected result, and include a test: “Submitted at 12:10, confirmation received, no record in the CRM”. This is more useful than “the form converts poorly”. Do not include real customer contact details in open correspondence.
